How to Choose a PDF Editor in 2026: Trials, Licences and AI Add-ons Explained

This post contains affiliate links (Awin). If you buy through them, we may earn a commission at no extra cost to you. It does not change what we recommend checking. We have not lab-tested the software mentioned here; facts about PDFelement come from Wondershare's official store page, checked on October 15, 2026.

Most people only need a PDF editor a few times a month: sign a contract, fill in a form, merge a few scans, fix a typo in a document someone else exported. That is exactly why buying one is confusing. Free tools cover part of it, trials hide the rest behind watermarks and quotas, and paid plans come as monthly, yearly, multi-year or perpetual licences with AI add-ons on top.

This guide walks through what to check before you pay, using Wondershare PDFelement as a worked example because its store page spells out its trial limits and licence terms in unusual detail.

Start With the Jobs You Actually Do

Write down the three or four PDF tasks you do most often. Typical ones:

  • Fill and sign forms and contracts
  • Edit text and images inside an existing PDF
  • Organize pages: merge, split, extract, rotate, reorder
  • Convert PDF to Word, Excel or images, and back
  • OCR: turn scanned pages into searchable, editable text
  • Protect: passwords, redaction, removing hidden data
  • Review: comments, highlights, stamps, comparing two versions

If your list is only “fill and sign” and the occasional merge, a free tool or the PDF features already built into your operating system may be enough. If OCR, redaction, conversion or batch processing are on the list, those are usually the features paid editors charge for.

What Free Trials Really Include

Trials are the best way to test an editor, but read the limits first so you know what you are actually testing. PDFelement is a good example of how detailed these limits can get. According to Wondershare’s FAQ on its store page:

  • The unregistered trial needs no account but only offers limited functionality (create, view, protect PDF and organize pages), and it adds a watermark when you save.
  • The registered 14-day trial needs no credit card and lets you test nearly all features, but saved files still get a watermark.
  • In the registered trial, Recognize Table and Create Notes can be used 3 times, and Batch Process and Combine PDF handle only 3 files with a maximum size of 20 MB.
  • Compress PDF, Scrolling Screenshot, XFA forms and OCR are listed as unavailable in the registered trial.

The practical lesson for any editor: if OCR or batch work is the reason you are buying, check whether the trial lets you test it at all. If it does not, use the refund policy (below) as your safety net and read its conditions before you pay.

Subscription or Perpetual Licence?

This is the biggest money decision. Wondershare’s FAQ explains the difference clearly, and the same logic applies to most desktop software:

  • A perpetual licence does not expire. For PDFelement it covers the current major version (PDFelement 13) indefinitely, including free minor updates for that version on desktop. Major upgrades may require an additional purchase.
  • A yearly plan is charged as one lump sum and renews automatically each year until you cancel. Renewal rates can change, and Wondershare says you will be notified of any change with the option to cancel.

How to choose:

  • Pick perpetual if you use PDFs on one desktop, your needs are stable, and you are happy staying on one version for several years.
  • Pick a subscription if you want every new version, mobile and web access, or bundled cloud storage, or if you only need the tool for a project and plan to cancel.
  • Whichever you pick, put the renewal date in your calendar. Auto-renewal is the most common source of “surprise” software charges.

AI Features and Usage Quotas

Many PDF editors now include an AI assistant to summarize, translate, rewrite or explain documents. Check how it is billed. For PDFelement, Wondershare states that both the trial and the paid version include an initial AI usage quota; after you reach it, extra use costs more, and unlimited access is sold as a separate monthly, quarterly, semi-annual or annual AI add-on.

If AI summaries are a main reason you are buying, budget for the add-on from the start rather than comparing only the base licence prices. If you rarely use them, the included quota may be all you need.

Individual vs Team Licences

An individual licence is for one person. Wondershare notes that buying several individual licences still gives access to one user each, and that the Team licence is the option when more than one person needs the product, with users managed from a Wondershare ID account. Both provide the same product. If you are buying for a small office, price the team plan rather than stacking individual ones.

Refunds and Money-Back Guarantees

“30-day money-back guarantee” rarely means “no questions asked”. Wondershare, for example, says its 30-day guarantee applies only under accepted technical circumstances, because the free trial is meant to let you evaluate the product first, and it links to a separate refund policy. Before buying any editor, read the actual refund terms and test your must-have features in the trial while you still can.

Privacy and Security Checks

  • Where are files processed? Desktop editors usually work locally; web and AI features may upload your document. Check this before opening contracts or medical records.
  • Real redaction. Drawing a black box over text does not remove it. Use a proper redaction tool and, if available, a “remove hidden data” feature before sharing sensitive files.
  • Digital signatures vs drawn signatures. A signature drawn with a mouse or image is not the same as a certificate-based digital signature. If a contract requires the latter, confirm the editor supports it.
  • Security certifications. Vendors often list them on their site; Wondershare, for instance, mentions ISO 27001 certification on the PDFelement store page.

Pre-Purchase Checklist

  • ☐ My top 3–4 PDF tasks are written down
  • ☐ I tested each of them in the trial (or confirmed they are blocked in the trial)
  • ☐ I know whether the plan is perpetual or auto-renewing, and noted the renewal date
  • ☐ I checked which platforms are included (Windows, Mac, mobile, web)
  • ☐ I priced any AI add-on I will actually use
  • ☐ I read the refund conditions
  • ☐ I know whether my documents are processed locally or in the cloud

Where to Try PDFelement

If PDFelement fits your list, start with the free registered trial and compare the current plans on the official store. Prices and promotions change often, so check the live page rather than relying on any price quoted elsewhere.

FAQ

Do I need a paid PDF editor to sign documents?
Often not. Many free readers let you add a drawn signature. You need a paid tool mainly if you require certificate-based digital signatures, form creation or heavy editing.

Will a trial watermark my files?
With many editors, yes. PDFelement’s unregistered and registered trials both add a watermark when you save, according to its store FAQ.

Is a perpetual licence always cheaper?
Over several years it can be, but only if you do not need the next major version. Compare the perpetual price with two or three years of the subscription you would actually buy.
